Vice President of Membership

The VPM plans, organises and implements an on-going marketing operation to achieve or maintain the Club's desired membership level. This involves enticing guests to join and encouraging existing members to stay.

Specific duties include:

* Record the names and contact details of all guests, and follow up with them after the meeting to invite them to visit again.

* Ask guests to join.

* Have an efficient system in place to deal with guests who join. (See 'When guests join' section below.)

* Ensure that the membership roster at Club Central is correct. (You need to login.)

* Encourage members to renew, and alert the President and VPE of any members who might leave.

* Be aware of the current membership building contests.

* In the absence of the President and the VPE, preside at Club and Committee meetings.

When guests join

1. Help them to fill in the Membership Application form.
The form is available as a writable pdf. Forms without dollar amounts are available at the bottom of this page.
Ensure the form identifies correctly whether the member is new, dual, reinstated or transfer.
Give completed forms to the Treasurer to register new members with World Headquarters (WHQ).

2. Tell them what to pay and how to pay it.
To calculate the amount payable, see the 'New Member Payments' file at the bottom of the Treasurer page.
You should arrive at each meeting knowing the amount someone who signs up at the meeting would pay.

3. Orientate them into the Club.
As the New Member Kit from WHQ will take a week or so to arrive, it is a good idea to have a Club New Member Kit ready to present upon joining. This kit could include:
- the Icebreaker Speech;
- a description of meeting roles applicable to your Club; and
- the new member manuals.
Also, implement whatever procedures your club has to assign a mentor.

A sponsor of 15 new members in a Toastmasters year (July1 to June 30) receives a special discount code for 25% off a product chosen from the TI store. Therefore it is always worth naming a sponsor when registering a new member. (The 15 members may be dual, reinstated or transfer, but may not be charter members.)

Here is the template for a feedback form for guests to complete and then either hand in at the meeting or post afterwards. These questions would normally be put in conversation with them, but you may find this form elicits a more honest appraisal.
