Before the Meeting:
- Assign roles as required by the VP Ed.
- Chase attendance (e-mail) and reassign roles as necessary.
- Print agendas for everyone
- Print a detailed agenda for yourself (called detail at the top of meeting page). This goes into further detail of the meeting and notes when to call for times, votes and feedback.
- Write your introductory speech (2 minutes). It should cover:
- Who you are and what the Toastmaster does
- Structure of meeting
- Applause for speakers, keeping the space filled. Remind people to shake hands.
At the Meeting:
- Arrive early to put an agenda on each chair
- Reserve seats at the front of the room for yourself & the Topics Masters
- Check to ensure people filling roles have arrived. Note any changes required
During the meeting:
- Note any changes to the agenda during your introduction.
- Keep smiling and be positive!
- Ensure that you lead applause, move quickly to the front when required, shaking hands with speakers before and after they have spoken.
Hints and Tips:
- The detailed agenda is your friend – there are a lot of transitions so have a good idea of what they are.
- Have an introduction ready to greet everyone and explain the meeting.
- Don’t over explain roles – allow the Grammarian, Table Topics Master etc to explain their own roles. Remind Timekeeper to explain their role from the back of the room.
After the Meeting:
- Make very brief closing remarks before handing back to the President who will do awards etc and officially end the meeting.
