General Information

Club Sponsors, Mentors and Coaches

A Club Sponsor helps a new club to charter.

Sponsors are entered on the Application to Organize form.

Officially sponsors are appointed by the District Governor, but this has not been practicable since the District Governor's signature requirement on the Application to Organize form was removed. However the District Governor can change sponsors.

Up to two individual members and two clubs may be sponsors. An individual sponsor is allowed to be a member of the pre-charter club concerned.

World Headquarters (WHQ) used to allow non-members to be sponsors only if they had previous Toastmasters experience, but it now appears that WHQ accept as Sponsors anyone named on the 'Application to Organize' form regardless of whether they are members or have previous experience.

To receive credit, when the club charters the club president informs WHQ of any sponsor who has fulfilled the role. The president can do this by signing a 'Get Credit!' form the sponsor received from WHQ after appointment.

Training material for sponsors is here.

A Club Mentor helps a new club in the period immediately after it charters.

Mentors are entered on the Application to Organize form. If this form is submitted before the mentors are known, the form can be re-submitted with the charter forms - or the mentors can be notified to WHQ separately.

Officially mentors are appointed by the District Governor, but this has not been practicable since the District Governor's signature requirement on the Application to Organize form was removed. However the District Governor can change mentors.

Up to two individual members may be mentors. A mentor is allowed to be a member of the newly-chartered club concerned.

To receive credit, after the club has been chartered for at least six months (and no longer than twelve months) the club president informs WHQ of any mentor who has fulfilled the role. The president can do this by signing a 'Get Credit!' form the mentor received from WHQ after appointment.

Training material for mentors is here.

A Club Coach helps a struggling club, which has twelve or fewer paid members, to recover and become distingushed (i.e. achieve the status of Distinguished, Select Distinguished or President's Distinguished).

Coaches are appointed by either the District Governor or the Lt. Governor Marketing on a Club Coach Appointment form submitted to clubcoach@toastmasters.org

Up to two individual members may be coaches. A coach is not allowed to be a member of the struggling club concerned at the time of the appointment, but may join after being appointed.

If the club does not achieve distinguished status on the 30th June (Toastmasters year-end) following appointment, a coach can continue for one more year and receive credit if the club achieves distinguished status on the next 30th June.

Upon the Club achieving distinguished status, WHQ award the Club Coach credit automatically. But credit is given at the beginning of the Toastmasters year after the Club achieves distinguished status, not within the year of achievement.

Training material for coaches is here.

Members serving as a sponsor, mentor or coach receive a certificate and credit towards the Advanced Leader Silver award.
